Seeking a Part-Time Operations & Customer Service Assistant

I am looking for a reliable, organized, and detail-oriented assistant who is capable of working independently. This is an in-person position based in downtown Wakefield, RI. The role primarily consists of order fulfillment, inventory management, and customer service. This is a part-time position with flexible hours and an opportunity to grow into additional responsibilities over time. 10-20 hours per week. The start date is mid-July or sooner.
Because this role involves corresponding directly with customers, wholesale accounts, suppliers, and other business contacts, strong written communication skills, professionalism, and good judgment are essential.
Responsibilities
- Fulfill orders for an e-commerce store
- Carefully package fine art prints, greeting cards, and calendars for shipment nationally and internationally.
- Generate and print shipping labels
- Monitor company inbox; respond to customer inquiries, complaints, fan mail, wholesale orders, collaboration requests, etc. in a timely, friendly manner.
- Address shipping issues by reaching out directly to customers, suppliers, or shipping companies.
- Communicate promptly and clearly with customers, wholesale accounts, distributors, suppliers, and supervisor via email.
- Maintain positive relationships with wholesale accounts, send and monitor invoices, package and ship wholesale orders.
- Troubleshoot and problem solve proactively when issues arise. Escalate issues when additional guidance or approval is needed
- Monitor and proactively order product inventory, packaging material inventory, and office supplies.
- Anticipate high order volumes and adjust workflow accordingly; reprioritizing tasks as needed to ensure customer orders are fulfilled promptly.
- Assist in hiring and training temporary assistants during the holiday season.
- Maintain a clean and organized office space.
- Additional responsibilities as necessary.
Required Qualifications
- Highly organized.
- Self-motivated; able to work independently without supervision.
- Computer savvy; able to quickly learn new programs and to troubleshoot and problem solve independently. Comfortable with Mac OS.
- Comfortable responding to e-mails and speaking with customers by phone in a courteous and professional manner.
- Able to stand for extended periods.
- Weekday morning availability.
- Able to adjust schedule to accommodate increased workload during holiday season (September - January).
- Attentive craftsmanship for assembling packaging
Preferred Qualifications
- Experience with Adobe Illustrator, ShipStation, Shopify, and Google Suite.
- Experience with inventory management, e-commerce order fulfillment, and shipping
- One year customer service experience.
- Ability to lift at least 40lbs and carry large packages up stairs.
Compensation
- $20/hour to start. Opportunities for performance-based pay increases are available as the assistant demonstrates reliability, efficiency, and the ability to take on additional responsibilities.
